What is Managing information withing and outside the organization? What is the importance of it?

-         The managing of information is a concept close to what we have already seen about communication since it is related to the exchange of knowledge either withing or outside the organization. The information transmitted inside the organization looks for a higher productivity through focusing every area on the same goals, so they all work together to reach them. The main way to exchange this information is by using email, cloud services, teleconferences and sometimes a few less popular now like faxes, USB or phone calls.

-         To manage information outside the organization is about dealing with news media, manage corporate news and controlling public company crises, which means mainly to manage the organization public image. Time ago, this used to take place on television programs, news papers or radio stations, but now this has moved to social media where the public actually has a voice and can be part of any issue related to something they care, so this has forced companies to do a better job in order to be supported by this community that is bigger and more aggressive every day.

-         So, the importance of they both is to help organizations to have a better and easier communication in and out, but it is totally its responsibility to using it properly to get good results.

-         Email

-         Voice mail

-         Internet

-         Groupware

-         Cd- rom

-         Teleconferences

-         Faxes

-         Telefaxes

 

Describe the role of technological discoveries throughout history.

-         It al begun with telegraph and telephone in the 19th century

-         In 1960s companies started to really pay attention to computers to processing data

-         In 1970s computers terminals were connected with mainframes but it was still very expensive to organizations

-         In 1980s fiber optics, local area networks and satellite technology were developed at the same time that more powerful computers.

-         Nowadays it is usual to find laptop computers, electronic spreadsheets and word processing programs in almost every organization in order to gather, store and communicate information.

 

What is the importance of technologies in the globalized business world?

-         It is known that time is equal to money, so the fastest you can finish a task = the most profitable you are. Technologies have helped organizations to work faster by providing tools to facilitate tasks and processes so they can focus on the ones that require more time or are more important.

 

Describe the use of the technologies in the communication field.

-         These technologies allow to share much more information in a shorter time. Now it is even possible to send any kind of media like audios, videos, or large documents all together to any part of the world and it will only take a few seconds. This connection also makes possible to have real time conferences and shared documents so work from home is a reality.

 

What are the Do’s and Don’ts of Electronic Communication?

Do’s:

-         Send messages through systems related to business

-         Check and respond

-         Read everything before sending it

-         Use an appropriate channel

-         Organize your message

Don’ts:

-         Do not flood the system with junk mail

-         Do not send confidential information

-         Do not use it as a very formal way to communicate

-         Do not write to detailed information

 

How have the Information & communication technologies changed the structure of business organizations?

-         It has changed it a lot due the facility it represents, for example, now it is not totally necessary for some job positions to go to work to an office because it is easier to be communicate in real time, so it is possible to be anywhere and still doing a good job as long as there is internet connection. As I said, it is also easier to free and instantaneously exchange information, so companies are more profitable and more competitive.

-         On the other side, people with no access to internet, email or phone communication can be left out of communication flow, so it is important to ensure everyone’s access to them as much as enough information to learn how to use them.

  1. Hello Fer, I liked your answer in the last question, many technological advances are currently emerging and with them different legal and ethical implications and mainly it is the little privacy and the new means of interaction these can generate a problem :)
